The Must-Have Operational Checklist for Business Park Events 

Operational failures that damage business park event programs almost never happen at the event. The blunder comes in the weeks leading up to it and is usually due to poor logistical planning. While this checklist doesn't guarantee perfection, it will help cover most of your bases. Let the countdown begin: 
 

Eight Weeks Out: Regulatory Research 

  • Does your event type require a temporary food service permit in your city or county? 
  • Is outdoor amplified sound regulated in your area? 
  • Does alcohol service require a separate license, or is it prohibited under your property's current zoning or lease terms? 
  • Do food trucks operating on private commercial property require any location-specific permits beyond their standard mobile vendor permit? 

Document every requirement, the agency responsible, the application timeline, and the fee. Set a calendar reminder to apply. 
 

Six Weeks Out: Infrastructure Survey 

  • Walk the event space and map every available electrical outlet, its location, and its amperage 
  • Determine whether available power is sufficient for your vendor lineup, or whether generator rental is required and needs to be budgeted 
  • Assess waste infrastructure: are trash and recycling receptacles adequate for expected attendance? Who is responsible for post-event cleanup? 
  • Check shade availability for summer events and note whether tent rental will be needed 
  • Confirm ADA accessibility from the building entrance to the event space 
  • Document any access route restrictions for vendor vehicles, like loading dock rules, weight limits, paving restrictions

Four Weeks Out: Vendor Confirmations 

  • Collect signed vendor agreements covering arrival time, setup and breakdown windows, power requirements, waste responsibility, and payment terms 
  • Confirm that each vendor's insurance certificate is current and names your property as additional insured 
  • Align on expected headcount and confirm it's in the vendor's planning documents 
  • Establish written documented policies for cancellation and weather 
  • Confirm payment approvals are in place before the event date, not after
  

Two Weeks Out: Lock Everything Down 

  • Confirm all equipment rentals: tables, chairs, tents, generators, signage, audio 
  • Schedule tenant communications: save-the-date already sent; confirm the event details message and day-of reminder are scheduled 
  • Finalize parking and access plan for vendor vehicles and share with building staff 
  • Distribute a full event brief to everyone involved: vendor names, arrival times, space map, and emergency contacts 

One Week Out: Final Checks 

  • Check the weather forecast and if the disruption probability exceeds 40%, activate your contingency plan now 
  • Confirm all permits are physically in hand 
  • Send the final tenant communication with vendor details and timing 
  • Confirm post-event cleanup responsibilities in writing with vendors

Event Day 

  • Be on-site before vendors arrive  
  • Walk the space before service starts: power confirmed, seating in place, waste stations set 
  • Count attendance at peak service time(s) 
  • Photograph the event for documentation, tenant communications, and ownership reporting 
  • Debrief with vendors before they leave and note anything to address for next time 


Post-Event 

  • Send tenant satisfaction survey within 24 hours
  • Log attendance count and any logistics issues in your event record 
  • Process vendor payment per agreed terms 
  • Add performance notes to your vendor roster 
  • Brief ownership if this event is part of a reported program
